Square Payroll, Homebase Payroll, and Gusto are credible restaurant candidates for different reasons. Square Payroll starts from point-of-sale-centered operations, Homebase Payroll from schedules and time, and Gusto from a wider employee record. The useful test is whether a manager can explain how a complicated shift became approved pay.
Restaurant constraint: one shift can contain several facts
A server may change roles, work across midnight, receive tip-related inputs, or have a missed punch corrected after a manager review. The payroll owner needs the original record, every edit, the authorized rate or role, and the final total in one reconstructable path. A smooth import is not enough if it hides the source.
The FLSA and state wage rules remain external employer obligations. Scheduling, tip, POS, time, or payroll features do not establish that the restaurant's wage treatment or records are compliant.
Mini-check for a weekend service scenario
Create a fictional employee who works two roles during a busy weekend, has one missed punch, and receives a manager-approved correction. Then:
- Show the schedule, worked-time source, role split, edits, and payroll-ready result.
- Separate manager correction from owner payroll release.
- Trace one tip-related input without assuming its legal treatment.
- Export the payroll register and supporting time history.
This publication has not run the check. The restaurant can reproduce it with each shortlisted provider and retain the outputs.
Exception: the edit arrives after approval
Suppose the manager fixes the punch after the owner approved payroll. Ask Square Payroll, Homebase Payroll, and Gusto how the change is flagged, whether the original remains visible, who can reopen the workflow, and how the correction reaches employee and accounting records. Do not infer completion from a changed dashboard total.
Restaurant decision criteria and conclusion
Choose Square Payroll when POS-centered evidence produces the cleanest store-to-payroll trail. Choose Homebase Payroll when schedule and time exceptions are easier to govern. Choose Gusto when broader employee administration adds current value without weakening hourly review.
Score role changes, time lineage, manager permissions, tips, overnight work, correction history, payroll approval, reports, and exports. The best fit makes the unusual shift easier to verify than the ordinary one.
