Payroll integration with Xero should be treated as an accounting control, not a convenience checkbox. Gusto, OnPay, and Patriot Payroll must each be evaluated against the current workflow offered to the buyer. Compatibility can change by package or configuration, so require written confirmation and a demonstration using the intended journal detail.
Xero constraint: detail must match the close
Define the accounts, tracking detail, payroll components, posting date, and responsible mapper before connecting anything. Decide whether payroll or accounting initiates the transfer and which system records the successful handoff. An automatic journal that finance must rebuild is not an efficient integration.
Gusto, OnPay, and Patriot Payroll represent different payroll operating styles. Do not rank them for Xero until the accountant confirms that the proposed output supports the actual close.
Mini-check for synchronization timing
Create a fictional approved payroll and a test accounting file:
- Post the journal and reconcile totals and selected lines to the payroll register.
- Change one mapping before a second test and inspect the audit history.
- Interrupt synchronization, then retry without creating another entry.
- Correct a payroll amount and document the accounting adjustment path.
No integration result is claimed here. The buyer can reproduce the check and preserve timestamps, identifiers, exports, and screenshots from both sides.
Exception: two operators trigger the same transfer
Suppose payroll and the accountant both initiate posting because neither sees a completed status. Ask how duplicates are detected, whether identifiers are shared, who can reverse the extra entry, and how the reconciliation shows the correction. A disconnected integration should also have a documented export fallback.
Xero integration criteria and verdict
Choose Gusto, OnPay, or Patriot Payroll only after its demonstrated Xero path matches the accountant's required detail and the payroll team's control model. Product breadth should not outweigh a weak journal trail.
Compare mapping authority, journal granularity, posting cutoff, success evidence, retries, duplicate protection, correction behavior, reconciliation, and fallback exports. Favor the workflow that remains understandable when synchronization fails between payroll approval and month-end close.
Have the accountant document the recovery procedure without provider narration. Any unexplained identifier, retry state, or manual journal becomes an implementation requirement.
